Minutes of the Board Meeting

The minutes of the previous meeting were approved as written.

 

Financials

Bill Tomlinson reviewed First 6 months financials and reported that we are slightly better than plan at this point due, in part, to the lower than expected plowing and salting in late Winter.

 

After a discussion, it was resolved to implement a late-fee to reduce the numbers of residents who are consistently late with the monthly payments. Beginning on October 1st ( so it can be announced at the annual meeting)  payments received later than the 15th of the month will be assessed a late fee of $20.00, if more than half of the payment due remains unpaid

 

Driveway Repairs.

It was agreed to approve the quote as amended received from Pittsford Paving. This will accomplish the driveway scheduled for late last Fall that were not completed  due to the early onset of Winter.

 

Mailbox Replacement

The mailboxes and stands have been ordered. Fred Weber will be notified by the supplier when installation is about to commence.

 

Exterior Light Standard. 
On a discussion, it was agreed to focus on two new replacement exterior lamps - a less expensive unit and another nicer, larger version providing residents with two options depending upon their willingness to spend.  The less expensive, slightly smaller unit is expected to cost under $40 while the larger version will cost about $75. Both are similar design  cast-aluminum units in a dark bronze finish. The Board will request actual units to examine before making a final decision.

 

Landscaping.

It was decided to change the scheduled mowing day permanently to Wednesdays.  When we attempted to do it as planned on Thursdays, too many residents left  their recycle bins and trash containers on the grass. Further the trash and recycle people frequently tossed the receptacles back onto the grass after emptying them forcing the landscaping crew to move them anyway.  It was agreed the difference in how the lawns look on weekends does not change much with mowing on Wednesday instead of Thursday.

 

It was agreed that Bert Stanley and Fred Webber will document more officially the HOA Policy regarding

the manner in which the HOA maintains common areas.  They will also define resident responsibility for common area items installed  by a resident with approval by the BV HOA Board via an Exterior Improvement Request as well as any gardens installed by an earlier homeowner.

 

Annual Meeting

Bill Tomlinson will pick a date the Association annual meeting to be held in September at Casa Larga.

 

Other Scheduled Events

Residents are asked to keep their calendars free for two upcoming community events, the Annual Eyebrow Picnic on August 23rd and the Holiday Party at the Green Lantern on December 17th.  More information will follow .


Next Board Meeting

The next meeting of the Board is tentatively scheduled for August 18, 2009 at the home of Warren Knapp
