Subject: Minutes - Board meeting held on 8/7/07

 

The Bristol View HOA Board met on Tuesday, August 7, 2007 at the home of Bert Stanley.  Those attending the meeting were Gary Aron, Bert Stanley, Marilyn Steane, Bill Tomlinson and Warren Knapp.

Gary Aron notified the Board that he would be closing on his home on September 7th and moving shortly thereafter.  Board members thanked him for his many years of service.

Minutes of the June 12, 2007 meeting were approved.  First half of 2007 financial statements were examined and found to be in good standing.

Bill Tomlinson reported that, of the two decks that were not in compliance, one member had agreed to update their deck.  Since no response was heard from the second, Bill would be making further inquiries.

Hopefully by adding crushed stone by the sidewalk, the mice problem at BR10 would be solved.  The Board encourages members that are away for extended periods of time to contact professionals so that rodent damage is kept to a minimum.

Members are also asked to notify Bill Tomlinson if their mailbox needs to be replaced.  The Board will be examining cost and design for future replacement of the mailbox posts.

The Town and our engineer continue to pursue the sinkhole problems.  The Town will be re-televising the lines where the problem is most serious to see if they are damaged.  BR38 and BR58 driveways will be resurfaced.  BR60 driveway will be evaluated and BR52 will be repaired and sealed.  Future examination will take place at BR41.

 The Board is concerned about the “alligator” surface and salt residue on the Spruce Ridge private road.  It most likely will have to be resurfaced within 3 years.  The Board will decide when upon examining the road after each winter.

Bert reported that he and Bill met with a rep from Davey Tree.  Pruning and shaping the Austrian pines is a costly endeavor and should be done every 2 to 3 years.  The rep’s suggestion was to remove those trees mainly in the “islands” at the beginning of Bristol View Drive.  The Board was in favor of such a move, but will first determine what such a project will cost.  Bert also reported on the meeting with landscape architect Tom Robinson concerning the berm behind BR25 and 27.  The grade on the north side allows for mowing.  This is not true for the south side.  Tom’s suggestion was to grade it out 6 feet necessitating a small retaining wall to be built parallel to the deck at BR25.  Nothing would be done until approval was obtained from both homeowners.  The Board felt that the cost of such a project should be split evenly between these owners and the association.  A landscape/fence similar to one placed between the townhomes and the golf course by the golf course, was approved for 60 Woodcliff Terrace to discourage golfers from hitting balls from within HOA property. Bill Tomlinson is to contact the golf course about getting this done. The Board would be keeping an eye on the erosion problem behind 63 Woodcliff Terrace.  The Board was pleased with the landscaping at the entrance to BVD, however felt that both sides should be thinned out.  One suggested future project would be the planting of pines where landscape refuse is placed near Spruce Ridge and the golf course pathway between the 5th and 6th fairways.

The last agenda item centered on the annual meeting to be held on September 24th.  Both letter and e-mail will be sent out on August 14th alerting members of the meeting and the three elected openings on the board.   Candidate forms will be included.  Such forms must returned be September 7th.  On September 14th, financial statements, candidate information and absentee ballots will be mailed out.  The next meeting of the Board will be on September 11th at 2 PM at Marilyn Steane’s home to finalize plans for the annual meeting.
