Minutes of the HOA Board Meeting 18 July, 2005

Present: Gary, Bert, John F., Warren, Gloria and Bill T. Board minutes of 6/2 and annual meeting minutes of 6/20 accepted unread. Agreement that annual business meeting will continue to be preceded by a half-hour social period at 7 pm. at Casa Larga. It was decided that there should be someone at a table at the door to greet people as they arrive, have people sign in and get their name tags as well as the envelope used for voting. There should be a separate pile of mailed-in absentee ballots they can retrieve in case they want to reconsider their votes. A synopsis of the insurance presentation given by Bonnie Gionta is available from Bill Tomlinson. The Good Neighbor Committee (GNC) should point out to residents who either do not have email or do not want it used, that they can reach Board members by phone. All new residents are given a Welcome packet by Bill, which contains the names of Board members. All resident communication from Bill is reviewed by Gary before it is sent out. No email is to be sent out bearing the email addresses of all residents (bcc to be utilized). The balance sheet was reviewed. Sealing of driveways and private road areas (Woodcliff Terrace and Spruce Ridge) will be done about the 3rd week of August. Repairs are due for settling at Nos. 48, 58 and 60 BVD, and 33 SR, as well as a hole on WCT; repairs must be done before sealing. Fence painting for Phase One: residents will be notified re dates. Some plantings may have to be trimmed or temporarily tied back. This work will be done by Chris. Some prior repairs may be necessary. Some mailbox posts still need to be painted. Mowing sometimes kicks up stones; this is unavoidable and rare. The association will replace any broken windows. A list of Bill’s responsibilities will be furnished to the recording secretary [not received]. At the November or December meeting the responsibilities of both the Board and Bill will be clarified for both parties. It was decided to regularize Board meeting dates: they will be held at 4 pm on the second Wednesday of designated months. The meeting schedule is September 7 at Warren’s, October 12 at John’s, November 9 at Gloria’s. In the event John is away for the October meeting, it will be moved to Gloria’s. |
