Meeting commenced 1:30 PM, concluded 3;30 pm
Minutes of the previous meeting were approved as amended. The minutes will be posted on the Homeowners Association website.
Discussion was opened to define more precisely the roles of the BVHOA Board vis a vis the Property Manager. The Board plays an executive role,” land lord “, supervising the “building superintendent”, property manager. It was recognized that a specific list of mutual responsibilities need to be defined.
To that end, Board members should send Gary a list of items they consider the property manager to be responsible for, and those responsibilities for the Board. There should be scheduled an annual review of these items for review and to check performance.
The process can be facilitated by review of the contracts with the property manager and all other extant contracts, including those with Suburban Disposal and One-Step. Bill Tomlinson is to provide HOA Board members with copies of all current contracts.
It was noted that no non Board members elected to attend this meeting.
It was again emphasized that the meeting agenda should be available at least one week before the scheduled meeting.
Meeting minutes are to be reviewed by the Board before posting on the web site and after final review by the president and notation of any corrections by Board members. The final approval shall come from the Secretary and then to the webmaster.
It was noted that on windy days papers to be recycled may be strewn about. The next newsletter will remind homeowners to secure their loose papers that should be contained.
Gary requested we take action to find and list storm door suppliers
Bill Tomlinson presented the Audited Balance Sheet-Year End 2004.
If there are problems with snow plowing, Bill Tomlinson or Pat Fasano should be contacted directly. In the interest of continuous improvement, it was suggested that the speed of plowing and the closeness of the plow to garage doors be discussed with Chris and Pat.
Bert will continue to monitor grounds and follow up to see that grass clippings are not left behind and facilitate mowing tight and uneven spaces. He will also contact homeowners to determine their wishes regarding changes for areas possibly requiring mulching or ground cover replacement. The end goal is to find the best way to accomplish the best outcome.
John reported that June Brush requested approval for enlargement of a bathroom window and a viewing glass for the front door. Larry McNight had a problem with rotted casement windows. [Warren had all the windows in his house repaired by G&G Window repair 787 1500]. Mark Cammarata has requested replacing cedar shakes with vinyl shakes, but they should match the color for those replaced.
A reminder should go to the homeowners that a special assessment will be due February 1.
